Getting Started

Everything you need to go from zero to a fully operational Haultro account. Account setup, first route, and onboarding your team.

Haultro is an AI-powered waste operations platform built by Viceroy NM. It gives waste management operators a single command center to manage their entire operation. Bins, trucks, drivers, clients, routes, financials, and compliance, all in real time.

The platform is organized around five core workspaces: Operations (live dashboard and fleet map), Routes (AI-powered scheduling), Bins (IoT monitoring and fill analytics), Clients (CRM with health scoring), and Admin (financials, users, and settings).

Trunnion is Haultro's AI engine. It runs in the background across all modules, powering fill predictions, anomaly detection, route optimization, client health scoring, and the conversational AI Chat where you can control operations using natural language.

Built for operators: Every screen is designed for action, not just reporting. You can dispatch a driver, create a route, or resolve an alert without leaving the dashboard.

To get started, visit platform-haultro.com/signup and create your account. You will need a valid email address and a password of at least 8 characters.

  2. Enter your name, email address, and a password
  3. Verify your email via the link sent to your inbox
  4. Complete your organization profile (company name, service area)
  5. Select your plan: Starter, Professional, Enterprise, or Unlimited
  6. You will land on the Operations Dashboard, ready to go
If you were invited by an Enterprise Admin or team manager, use the invitation link in your email instead. It will connect you to the correct organization automatically.

Follow this recommended setup sequence to get your operation running in under 30 minutes:

  1. Add your trucks. Go to Fleet, then Vehicles, and add each truck with make, model, capacity, and license plate.
  2. Add your drivers. Go to Fleet, then Drivers, and invite each driver. They will receive an email to set up their mobile portal login.
  3. Add your bins. Go to Bins, then Add Bin for each service location. Set the GPS coordinates, waste type, and bin capacity.
  4. Add your clients. Go to Clients, then Add Client and link each client to their bins and service address.
  5. Create your first route. Go to Routes, then New Route, select bins and a driver, then click AI Optimize to generate the optimal stop sequence.
  6. Configure alerts. Go to Settings, then Alerts and set your fill threshold and notification preferences.
You can import bins and clients in bulk via CSV from Settings, then Import. This is faster if you have 20+ bins to add.

Haultro has five distinct user roles, each with tailored permissions:

  • Admin. Full access to all platform features including financials, user management, AI settings, and billing. Typically the owner or operations director.
  • Operations Manager. Can manage routes, bins, drivers, clients, and alerts. Cannot access billing or user management.
  • Driver. Access to the mobile driver portal only. Can view assigned routes, complete stops, and use the AI chat in read-only mode.
  • Client. Access to the client self-service portal. Can view their bins, request pickups, and view their contracts and invoices.
  • Enterprise Admin. Can manage multiple linked organizations, view portfolio-wide analytics, and configure per-org AI settings. Available on Portfolio plan only.
You can invite users from Settings, then Team Members. Select their role before sending the invitation. Roles can be changed later by an Admin.

The driver portal is a mobile-optimized web app. No app store download required. Drivers access it via any smartphone browser.

  1. Admin invites driver from Fleet, then Drivers, then Invite Driver
  2. Driver receives email with login link and sets up their password
  3. Driver visits platform-haultro.com on their phone and logs in
  4. They will see their personal dashboard, assigned routes, and today's stops
  5. Each stop shows address, bin details, and a one-tap navigation button (Google Maps or Apple Maps)

Drivers can mark stops as complete, add notes, and view their XP points and leaderboard ranking. Admins see live GPS position of all drivers on the fleet map.

Recommend drivers add platform-haultro.com to their home screen for app-like quick access. Works on both iOS and Android.

The Operations Dashboard is your real-time command center. It auto-refreshes via WebSocket. No page reloads needed. Key components include:

  • KPI Cards. Fleet size, bins needing service, average fill level across your portfolio, device health percentage, and active alerts.
  • Trunnion AI Panel. Surfaces the top 3 actionable recommendations right now (e.g., "Bin #42 is 94% full, schedule pickup within 2 hours").
  • Live Fleet Map. Interactive map with color-coded bin markers (green/yellow/red by fill level) and truck GPS positions updating every 15 seconds.
  • Active Alerts. Critical and High alerts shown in priority order with one-click acknowledgment.
  • Today's Routes. Summary of scheduled, in-progress, and completed routes with real-time status.

Haultro's alert system monitors your entire operation 24/7 and notifies you when action is needed. There are four severity levels:

  • Critical. Overflow imminent, SLA breach, device offline more than 2 hours.
  • High. Bin above 90% fill, post-service fill anomaly detected, vehicle health warning.
  • Medium. Sensor drift detected, scheduled maintenance upcoming, SLA warning.
  • Low. Low battery on sensor, informational updates.

Unacknowledged alerts automatically escalate every 5 minutes. A background job runs every 30 minutes to cluster geographically related alerts into a single grouped event, reducing noise.

Configure notification delivery in Settings, then Alerts. You can set per-severity email notifications and in-app preferences.

Yes. Haultro supports CSV bulk import for bins, clients, and routes. Go to Settings, then Import Data and download the CSV template for the data type you want to import.

Supported import types:

  • Bins. Address, GPS coordinates, capacity, waste type, client assignment.
  • Clients. Company name, contact info, service address, billing details.
  • Routes. Route name, assigned bins, driver, scheduled date.

For large migrations or migrations from Jobber, Workiz, or Docket, contact support and we will assist with a custom import. Enterprise and Unlimited plans include white-glove onboarding which covers full data migration support.

Fleet & Routes

Managing your vehicles, drivers, and AI-optimized routes. From dispatch to completion, everything about how your fleet moves.

Haultro's AI route optimizer analyzes 7 variables simultaneously to generate the most efficient stop sequence for each route:

  • Bin locations. GPS coordinates of every stop.
  • Current fill levels. Prioritizes bins closest to overflow.
  • Traffic patterns. Historical and real-time traffic data for the service area.
  • Truck capacity. Ensures the assigned truck can handle all stops before needing to dump.
  • Driver location. Starts the route from the driver's current position.
  • Geographic zones. Respects service area boundaries.
  • Time windows. Honors client service windows and SLA requirements.

The optimizer targets the 80% fill sweet spot. Collecting bins before they overflow, but not before they are economically worth servicing, reducing unnecessary trips.

Operators report an average 30% reduction in fuel costs after enabling AI route optimization.

Routes follow a structured lifecycle: Draft to Scheduled to Pushed to In Progress to Completed.

  1. Go to Routes, then New Route
  2. Select the bins to include (or let AI auto-select based on fill levels)
  3. Assign a driver and truck
  4. Set the date and time window
  5. Click AI Optimize to generate the optimal stop sequence
  6. Review the route on the map and adjust if needed
  7. Click Schedule to confirm, then Push to Driver to notify them
Use Route Templates to save recurring routes and auto-generate them daily via background jobs. Eliminates repetitive manual planning.

Route Templates let you define recurring routes once and have Haultro auto-generate them on a schedule. This is ideal for regular commercial clients with fixed service schedules.

  1. Create a route and optimize it as normal
  2. Click Save as Template from the route detail page
  3. Set the recurrence (daily, weekdays, specific days of week)
  4. Assign a default driver (can be overridden per-instance)
  5. Enable Auto-Generate to have the system create the route each day automatically

Auto-generated routes appear in Draft status each morning and are pushed to drivers at the configured push time. Admins receive a daily summary of auto-generated routes.

Haultro includes a built-in driver engagement system using XP points and achievement badges to drive performance and accountability.

How XP is earned:

  • Completing a route. 100 XP
  • Completing each stop. 10 XP per stop
  • On-time arrival. 20 XP bonus
  • 7-day streak. 150 XP bonus
  • 30-day streak. 500 XP bonus
  • Zero missed stops in a week. 200 XP

There are 11 achievement badges ranging from "First Route" to "Legend" (500+ routes completed). Drivers can view their XP, badges, and ranking on their mobile portal. Admins see the full leaderboard under Fleet, then Driver Performance.

Share the leaderboard in team meetings to boost engagement. Operators report measurably lower missed-stop rates after enabling gamification.

Every night, Haultro's AI runs a maintenance analysis on each vehicle in your fleet using mileage, service history, vehicle specifications, and operational patterns.

The system predicts upcoming needs like oil changes, brake replacements, tire rotations, and component wear. Flagging them before breakdowns occur. Each vehicle receives a Health Score from 0 to 100.

Vehicles with low health scores are automatically deprioritized in route assignments to avoid breakdowns mid-route. You can view maintenance predictions under Fleet, then Maintenance.

Log all service events in Haultro. The more data the model has, the more accurate the predictions become over time.

Haultro tracks every active driver's GPS position in real time, refreshing every 15 seconds on the fleet map. This uses the driver's mobile browser location. No hardware GPS device required.

From the fleet map you can:

  • See every truck's live position
  • View route progress (stops completed vs remaining)
  • Use Nearest Driver Lookup to instantly find the closest driver to any address for urgent dispatch
  • Set geofence zones and receive automated alerts when trucks enter or exit

Drivers must have location permissions enabled in their browser for tracking to work. The system will prompt them on first login.

Go to Routes, then Analytics for full performance reporting. You can filter by 7, 14, 30, or 90-day windows. Key metrics include:

  • Routes completed vs planned
  • Average stops per route
  • Fuel cost per route (based on configured fuel rate)
  • Driver performance comparison and leaderboard
  • Stop completion rate by driver
  • Average route duration

Individual route history is available under Routes, then History. Click any completed route to see a full replay with stop timestamps, driver notes, and performance metrics.

Geographic zones let you define service area boundaries that are used for route auto-generation, driver assignment, and alert grouping.

  1. Go to Settings, then Service Zones
  2. Draw a zone on the map using the polygon tool, or enter a postal code range
  3. Name the zone and assign default drivers and trucks
  4. Enable zone-based auto-routing to have Haultro generate routes per zone daily

Bins assigned to a zone will be grouped automatically when creating or auto-generating routes. Alerts within the same zone are also correlated and grouped by the 30-minute alert correlation job.

Bin Management

Managing your bins, understanding fill analytics, anomaly detection, and what the 4-category AI monitoring system catches.

Go to Bins, then Add Bin and fill in the required fields:

  • Name / ID. A reference label (e.g., "Main Street Dumpster #3")
  • GPS Location. Enter address or drop a pin on the map
  • Capacity. Volume in cubic yards or liters
  • Waste Type. General, recyclables, organics, hazardous, C&D debris
  • Client Assignment. Link the bin to a client account
  • Fill Threshold. The % at which to trigger a pickup alert (default: 80%)
  • IoT Sensor ID. If connected to a sensor, enter the device ID here
Import bins in bulk from Settings, then Import Data using the CSV template. This is faster for 10+ bins.

Haultro monitors every connected bin for four categories of anomalies simultaneously, each indicating a different type of problem:

  • Fill Spike. A sudden, abnormal jump in fill level that doesn't match the bin's normal fill rate. Often indicates illegal dumping or an unusually large deposit. Triggers a High alert.
  • Post-Service Fill. A bin reporting greater than 30% fill within 4 hours of a confirmed service. Indicates the service may not have been completed properly, or the bin was filled immediately after. Triggers a Medium alert.
  • Sensor Drift. The fill rate deviates 3x or more from the bin's rolling historical average. Indicates a faulty sensor or unexpected usage pattern change. Triggers a Medium alert.
  • Silent Device. No readings received from a sensor for 1+ hour during expected operating hours. Indicates sensor battery failure, connectivity issue, or physical damage. Triggers a High alert.
All four categories run simultaneously on every reading. A bin can trigger multiple anomaly types at once.

Haultro's fill prediction system uses machine learning models trained on each bin's historical fill patterns to forecast when the bin will reach capacity. Predictions are available at 24, 48, and 72-hour horizons.

The system detects and accounts for three types of fill patterns:

  • Linear. Steady, consistent fill rate (most common)
  • Accelerating. Fill rate increasing over time (common near events or busy periods)
  • Decelerating. Fill rate slowing down (common after service or holiday periods)

Each prediction includes a confidence score (0 to 100%) so you can prioritize high-certainty predictions. Bins with low confidence scores are flagged for manual review. Day-of-week patterns are also factored in. Monday bins in commercial areas typically fill faster than weekend bins.

View fill predictions under Bins, then Fill Analytics.

When a driver or admin uploads a photo of a bin, Haultro's Vision AI (powered by Claude Vision) automatically analyzes the image and returns:

  • Estimated fill percentage. Visual assessment of how full the bin appears
  • Waste type identification. General waste, recyclables, organics, hazardous materials
  • Contamination detection. Whether prohibited items are visible in the bin
  • Condition assessment. Bin damage, graffiti, lid condition

Vision AI results are stored in the bin's history and can trigger alerts if contamination or damage is detected. To upload a photo, go to the bin detail page and click Add Photo.

This feature is available on Professional plan and above.

Bins on the fleet map are color-coded by fill level for instant visual priority assessment:

  • Green. Under 60% fill. No action needed.
  • Yellow. 60 to 80% fill. Monitor and schedule pickup soon.
  • Orange. 80 to 90% fill. Schedule pickup within 24 hours.
  • Red. Above 90% fill. Urgent pickup required.
  • Grey. No sensor data / offline device.
  • Purple. Active anomaly detected.

The map updates in real time via WebSocket. You can filter the map by waste type, client, zone, or fill level using the filter panel on the right side.

Trunnion AI

Haultro's AI engine. From the conversational AI Chat to streaming intelligence reports. How to get the most out of your AI co-pilot.

Trunnion is Haultro's multi-tier AI engine. It is not a single feature but a system that powers intelligence across the entire platform. It operates in two modes:

Background Intelligence. Trunnion runs continuously in the background, powering fill predictions, anomaly detection, client health scoring, maintenance predictions, and proactive recommendations on your dashboard. You benefit from this automatically without any interaction.

Conversational Chat. The Haultro AI Chat lets you control and query the platform using natural language. It has tool-calling capabilities, meaning it can actually take actions in the system, not just answer questions.

Example things you can ask Trunnion:

  • "Which bins need service in the next 24 hours?"
  • "Create a route for the North Zone with available drivers"
  • "What's the health score for the Martinez account?"
  • "Generate a report on this month's route efficiency"
  • "Assign Driver #4 to the downtown route"

Access AI Chat from the bottom-right button on any page or from the main nav. Chat responses stream in real time via Server-Sent Events.

The chat has access to your live operational data and can:

  • Query data. "Show me all bins above 85% fill"
  • Generate routes. "Build an optimized route for the South Zone tomorrow"
  • Assign drivers. "Assign Sarah to the 7am route on Thursday"
  • Resolve anomalies. "Acknowledge all Medium alerts in Zone 3"
  • Get predictions. "Which clients are at risk of churning this month?"
  • Generate reports. "Summarize last week's operational performance"
Be specific with your requests. "Create a route for Zone B on Friday using the Ford truck and assign it to Driver #2" will get better results than "make a route."
Drivers get read-only AI Chat access on their mobile portal. They can query route details but cannot take actions.

Intelligence Reports are deep AI-generated analyses of individual clients or your entire portfolio, streaming in real time. Each report includes:

  • Operational performance summary
  • Service efficiency analysis (over/under-serviced bins)
  • Revenue and profitability breakdown
  • Risk assessment (churn risk, SLA exposure)
  • 30/60/90-day action plan with specific recommendations

To generate a report: Go to Clients, then [Client Name], then Generate Intelligence Report. For a portfolio-wide report, go to Analytics, then Portfolio Intelligence Report.

Reports can be exported to Excel for offline sharing with stakeholders.

Intelligence Reports are available on Enterprise plan and above. They are ideal for QBRs and contract renewal conversations.

Every client receives a Health Score from 0 to 100, calculated from multiple operational and financial signals:

  • Service delivery rate (are pickups happening on schedule?)
  • SLA compliance (are service level agreements being met?)
  • Payment patterns (are invoices being paid on time?)
  • Support ticket volume (how many issues are being raised?)
  • Engagement level (are they using the client portal?)

Clients are also classified by churn risk: Low, Medium, High, or Critical. A daily job identifies at-risk clients and surfaces them in your dashboard for re-engagement.

View all client health scores under Clients, then Health Overview. Click any client to see the breakdown of what's driving their score.

Haultro uses three AI providers depending on the task:

  • Anthropic Claude. Powers the AI Chat, Intelligence Reports, and Vision AI photo analysis. Used for complex reasoning, streaming reports, and tool-calling operations.
  • OpenAI. Used for certain classification and structured output tasks.
  • Google AI. Used for fill pattern detection and route optimization modeling.

On the Enterprise plan, Admins can configure which AI provider is used by default from Settings, then AI Configuration. On the Portfolio plan, each linked organization can have its own AI provider settings configured independently.

Clients & SLA

Managing your client relationships, contracts, SLA compliance monitoring, and the client self-service portal.

Go to Clients, then [Client Name], then Contracts, then New Contract and configure the SLA terms:

  • Max Fill Duration. Maximum hours a bin can remain above the fill threshold before requiring service
  • Service Frequency. Minimum required pickups per week or month
  • Max Overflow Count. Maximum overflow events permitted per billing period
  • Response Time SLA. Maximum hours from alert to service

Once configured, Haultro monitors compliance automatically every 15 minutes. When a threshold is approached, a Warning event is generated. When a threshold is breached, a Breach event is created and escalated.

Use AI Contract Pricing Suggestions (Enterprise+) when setting up new contracts. It analyzes your actual service costs to recommend profitable pricing.

When an SLA breach is detected by the 15-minute compliance checker:

  1. A Critical alert is created and appears immediately on the Operations Dashboard
  2. An email notification is sent to all Admin users
  3. The breach is logged in the client's SLA compliance history
  4. If unacknowledged, the alert escalates every 5 minutes
  5. The client's health score is negatively impacted

To resolve a breach: acknowledge the alert, dispatch a driver to service the affected bin, and mark the alert as resolved once the service is confirmed complete. The breach will remain in the compliance history for reporting purposes.

The client portal gives your customers visibility into their service without needing to call you. Clients log in at platform-haultro.com with the credentials you set up for them.

Clients can:

  • View all their bins with current fill levels and status
  • See upcoming scheduled pickups
  • Request an on-demand pickup (pricing is calculated dynamically by AI)
  • View their contracts and SLA compliance history
  • Download invoices

To invite a client to their portal: Go to Clients, then [Client Name], then Portal Access, then Send Invite. They will receive an email to set up their login.

Client portal access is available on Professional plan and above.

When a client requests an on-demand pickup through the client portal, Haultro's pricing engine calculates a dynamic price in real time based on:

  • Bin fill level. Higher urgency = higher price
  • Waste type. Hazardous and specialty waste priced higher
  • Bin size. Larger containers priced proportionally
  • Fleet load. High demand periods with fewer available trucks increase price
  • Time of day. After-hours requests include a premium
  • Geographic zone. Distance from nearest available driver

The calculated price is shown to the client before they confirm. Admins can set price floors and ceilings per client or globally in Settings, then Pricing Rules.

Billing & Plans

Subscriptions, plan upgrades, invoices, add-ons, and understanding what's included in each tier.

Haultro has five subscription tiers:

  • Starter ($249/mo). 3 users, 25 bins, 3 trucks, 15 clients. Real-time dashboard, fleet map, basic route management, alert system, driver portal. No AI features. Best for 1-2 trucks
  • Professional ($549/mo). 10 users, 100 bins, 8 trucks, 50 clients. Everything in Starter plus AI route optimization, fill predictions, anomaly detection, AI Chat, Vision AI, SLA management, and client portal. Most popular
  • Enterprise ($899/mo). 25 users, 300 bins, 20 trucks, 150 clients. Everything in Professional plus Viceroy Intelligence Engine, predictive maintenance, dynamic AI pricing, full financial analytics, alert correlation, and weekly automated reports.
  • Unlimited ($1,299/mo). 50 users, unlimited bins and trucks. Everything in Enterprise plus white-glove onboarding, custom integrations, priority SLA, and quarterly business reviews.
  • Portfolio ($2,499/mo). For franchise operators. Unlimited organizations, portfolio intelligence, centralized billing, per-org LLM configuration, and platform-wide audit logging.

Go to Settings, then Billing, then Change Plan to upgrade or downgrade at any time.

Upgrading. Takes effect immediately. You will be charged a prorated amount for the remainder of the current billing period, then the new full amount at the next renewal.

Downgrading. Takes effect at the end of your current billing period. Your data is preserved, but features above your new plan's tier will be inaccessible until you upgrade again. If your current bin, truck, or user count exceeds the new plan's limits, you will be prompted to reduce them before the downgrade takes effect.

The following add-ons are available on top of any plan:

  • Additional Users. $29/user/month beyond your plan's included limit
  • High-Volume IoT Ingestion. $99/month for operations with very high sensor reading volumes

  • Custom Integrations / API Access. $99/month (included free on Enterprise+)

Add-ons can be enabled from Settings, then Billing, then Add-Ons.

The Financial Analytics module (Enterprise and above) is available under Analytics, then Financial. It provides:

  • MRR & ARR. Monthly and annual recurring revenue
  • Gross Profit & Margin. Revenue minus operational costs with margin percentages
  • Client Profitability. Per-client P&L breakdown. See exactly which clients are profitable
  • Service Optimization. Identifies over-serviced and under-serviced bins with cost impact analysis
  • Cost Configuration. Set fuel rates, labor costs, disposal fees, and bin-size-specific costs

All financial reports can be exported to Excel from the top-right of the Analytics page.

Account & Settings

Managing users, roles, passwords, notifications, integrations, and general account preferences.

Go to Settings, then Team Members, then Invite User. Enter their email, select their role, and send the invitation. They will receive an email to set up their account.

To change a user's role or remove them: Go to Settings, then Team Members, find the user, and use the Actions menu. Note: you cannot change your own role or remove yourself.

Additional users beyond your plan's limit are billed at $29/user/month. Your current user count vs limit is shown on the Team Members page.

To reset your password:

  1. Go to platform-haultro.com/login
  2. Click Forgot Password
  3. Enter your email address
  4. Check your inbox for a reset link (check spam if not received within 2 minutes)
  5. Click the link and enter a new password

To change your password while logged in: Go to Settings, then Profile, then Change Password.

For security, Haultro passwords must be at least 8 characters. We recommend using a password manager to generate a strong, unique password.

Go to Settings, then Notifications to configure how and when you receive alerts:

  • In-App Notifications. Real-time alerts within the platform (always on)
  • Email Notifications. Choose which severity levels trigger emails (Critical, High, Medium, Low)
  • Daily Digest. A morning email summary of the previous day's operations and upcoming priorities
  • Weekly Report. Automated weekly operations summary (Enterprise+ only)

Each team member can configure their own notification preferences independently from their profile settings.

Enterprise & Portfolio

Multi-organization management, portfolio intelligence, centralized billing, and per-org AI configuration for franchise operators and regional companies.

The Portfolio plan enables an Enterprise Admin to manage an unlimited number of linked organizations from a single login. Each organization is completely isolated. It has its own data, users, bins, clients, and settings.

From the Enterprise Admin Dashboard you can:

  • View portfolio-wide KPIs. Revenue, bin count, fleet utilization, compliance across all orgs
  • Create new organizations, invite org-level admins, and link/unlink organizations
  • Manage users across all organizations from one place
  • Track billing per organization with centralized invoicing
  • Configure AI provider settings independently per organization
This is ideal for franchise operators. Each franchise location gets its own organization with its own admin, while the franchisor has portfolio-wide visibility.

Portfolio Intelligence generates AI-powered insights that compare performance across all your linked organizations. Something no org-level admin can see on their own.

Examples of cross-org insights:

  • "Your Houston location has 40% fewer missed pickups than the Dallas location. Their zone configuration may be worth replicating"
  • "3 of your 8 locations are operating above their SLA breach threshold. Immediate action recommended"
  • "Miami is your most profitable location per bin. Consider expanding their service area"

Access the Audit Log from Enterprise Dashboard, then Audit Log. You can filter by organization, user, action type, and date range. Full exports are available for regulatory or compliance reporting.
